Department: Administrative
Responsibilities:
- Answers all telephone calls to the company in a pleasant, friendly, and helpful manner. Routes calls to the requested staff person or voicemail box as appropriate. Takes messages as requested.
- Maintains a thorough understanding of the company, its business and products, and the responsibilities of different staff members. Answers general questions from callers in a knowledgeable manner and forwards calls to appropriate staff as needed.
- Greets visitors in a welcoming manner and notifies appropriate staff person of their arrival.
- Greets delivery personnel and accepts deliveries; notifies appropriate staff person of delivery.
- Receives and sorts incoming mail and faxes. Notifies appropriate staff person when urgent faxes are received.
- Schedules overnight courier pickups as requested.
- Applies postage to outgoing mail and ensures all mail is delivered daily to the pickup area in the lobby before the final pick-up time.
- Assists other departments with preparation and assembly of bulk mailings.
- Maintains and monitors postage meter
- Maintains and monitors office supplies inventory on a weekly basis; suggests reorder quantities to the Office Manager.
- Maintains reception area and conference rooms in a neat, clean, and professional manner. Advises management when repairs, special cleaning, or accessories are needed.
